Rate Loading Instructions

For Member Hotels Using SynXis Central Reservation & Have HE GDS Chain Code

Step 1: Build the rate plan(s) directly into SynXis Central Reservation System (CRS).

Step 2: Notify Historic Hotels of America's Data Services Department that the rate plan(s) have been built into SynXis and are ready to be mapped.

There are three different methods to map a rate. Please indicate to our Data Services Department which of the following methods you wish to utilize and supply our department with the corresponding rate loading form.

  • i. General Availability: This method allows the rate to be distributed to all channels, including GDS, Pegasus ODD/HCD/IDS, and other websites. Notify our Data Services Department to map the rate plans for general availability to the various channels.

    Examples include (but not limited to): AAA rates, AARP, Special/Flash Sales, Promotional Rates, Package A1 (NTHP Non-Member), Package 2 (NTHP Non-Member), Seasonal Hotel Packages, etc. Please note that rate mapping is NOT required for your hotel's Internet Booking Engine, Call Center, and the Historic Hotels of America website.

  • ii. Historic Hotels of America Website Specific (Guest Enters Code): This method limits the rate to only display on the Historic Hotels of America website. A rate access code must be entered by the consumer to view the rate. Examples include:

    a. National Trust for Historic Preservation (NTHP) Member Rate: This rate must be a minimum of 10% off BAR or at your AAA Member Rate, whichever is lower. Inventory must be open to any category and date that is available to the AAA Rate or other OTA rates.

    b. Historic Hotels of America Employee Discount Rate (DISHHA): If your hotel is participating in the Employee Rate Program, the rate must be a minimum of 20% off BAR with a recommendation of up to 50% off BAR.

  • iii. GDS Restricted Rate Plan(s): The GDS restricted rate plan(s) requires both a rate access code and travel agency's pseudo city code to be entered before viewing and booking the restricted rate (e.g. Consortia Rates, Corporate Rates, Preferred Extra, exclusive American Express Rates, BCD Travel, Travel & Transportation Rates, etc.)

    Please provide our Data Services Department the GDS loading instructions and submit the Negotiated Rate Mapping Form. Click here to download.

Step 3: After creating the rate plan(s) in SynXis, please submit the Rate Mapping Form to HHAHelp@HistoricHotels.org. In the body of the email please inform our Data Services Department that the rate plan(s) have been created and the dates the rate(s) are available. Upon your request, our Date Service Department is able to test for availability.

For Non-HE GDS Hotel Members

Step 1: Build the rate directly into your hotel's Central Reservation System (CRS). Examples of CRS providers include: SynXis, Travelclick, Pegasus, Utell, Trust, Hilton CRS, Hyatt CRS, etc.
Friendly Reminder: The rate must have inventory, availability, and distribution to the Pegasus ODD/HCD/IDS Channel.

Step 2: Notify your CRS Provider's GDS Department that the rate has been built and needs to be mapped. There are three different methods a rate may be mapped. Please indicate to your provider which one of the following methods you wish to utilize, and supply them with the corresponding rate loading form.

  • i. General Availability: This method allows the rate to be distributed to all channels, including the GDS, all websites, your hotel's website, call centers, and the Historic Hotels of America website. Instruct your CRS provider to map the rate for general availability to the various channels, including Pegasus ODD/HCD/IDS. Please note that forms and rate access codes are not needed. Examples below:

    a. Package A1 (NTHP Non-Member) Min. 2 persons/room for 3 days/2nights + 1 historic experience* + 1 historic tour

    b. Package A2 (NTHP Non-Member): Min. 2 persons/room for 4 days/3 nights + daily free breakfast + 1 historic experience* + 1 historic tour

  • ii. Historic Hotels of America Website Specific: This method will limit the rate to display only on the Historic Hotels of America website but without requiring the consumer to enter a rate access code. Example below:

    a. Package C (Off/Shoulder Season) "Book Ahead to the Past" Hotel Opening Date (1799) = Room Rate ($179.99) + Meal ($17.99) Hotel determines length of stay meal.

  • iii. Historic Hotels of America Website Specific (Guest Enters Code): This method limits the rate to only display on the Historic Hotels of America website and requires the consumer to enter a rate access code to view the rate. Example below:

    National Trust for Historic Preservation (NTHP Member): This rate must offer a minimum of 10% off BAR or match your hotel's AAA Member Rate, whichever is lower. Inventory must be open in the categories and dates that are open for the AAA Rate or any other OTA Rate.

    a. Package B1 (NTHP Member): A1 @ 10% off + local gift + comp. admission to local historic attraction

    b. Package B2 (NTHP Member): A2 @ 10% off + local gift

Step 3: After the rate has been built and your CRS provider has mapped the rate, please send an email to HHAHelp@HistoricHotels.org to notify us that the rate has been created and dates the rate is available. Historic Hotels of America will test for availability.
